How to use the LECOM Data Collection Terminal for inventory and sales
LECOM T80 2D ANDROID Data Collection Terminal — this is an industrial-grade terminal with a built-in 1D/2D barcode scanner and a SIM card slot. It works both as a data collection terminal and a smartphone with Android 7.0. It reads linear barcodes and QR codes, NFC tags, GPS signals, stores product information, plays photos and sounds, and makes and receives calls. The terminal has a 4-core processor, a high-quality camera, a touchscreen, and buttons. It supports voice communication, Wi-Fi, Bluetooth, and 2G/3G/4G wireless connections. It works with the Torgsoft mobile application, or without it. If you use the accounting program without the mobile app, the terminal’s screen will display the "Accounting and Warehouse" tab.
Due to its functionality and industrial-level protection, the LECOM T80 2D ANDROID terminal is especially convenient for inventory, stocktaking, field sales, and warehouse operations.
How to use the LECOM T80 2D ANDROID data collection terminal for inventory and stocktaking?
To perform inventory with the data collection terminal, you need to scan the barcodes of all products in the store, save this information to the inventory slip, and transfer the data to the computer.
Preparing for Inventory
Step 1. Enter the data about the data collection terminal in the Torgsoft accounting program.
Add the terminal:
In the Torgsoft accounting program, go to the "Settings" menu and select "Data Collection Terminal" ⟶ add the terminal under the tab, e.g., "Accounting and Warehouse" ⟶ set encoding to "UTF-8", separator to ";" and file name for the product database to "InvertoryGoods.csv", leave the fraction separator as "Dot", check the box for "The import file has column headers" ⟶ click "Save".
Create export and import parameters for the product database:
In the "Export Product Database" tab, add the necessary product parameters one by one: click the "Add" button ⟶ in the opened tab, select the product parameter, for example, "Product Name" ⟶ activate the "field" checkbox ⟶ save the data by clicking "Save". Usually, for inventory, the following data is entered: Product Name, Barcode, Quantity.
Go to the "Import Documents" tab and similarly add the product parameters for import: "Product Name", "Barcode", "Quantity". The only difference is that for the "Quantity" parameter, you do not need to check the "field" box, instead, set "0" in the "Default Value" field.
Step 2. Create the inventory list.
-
Go to "Warehouse" ⟶ "Stock Status" ⟶ select the types of products for which you want to perform the inventory ⟶ click the "Add" button to create a new inventory list, select it, and open it.
-
In the list, go to "Data Collection Terminal" ⟶ "Settings" ⟶ select the terminal name you created, for example, "Accounting and Warehouse" ⟶ click "Save".
-
Click "Data Collection Terminal" again ⟶ select "Upload Product Database to Terminal" ⟶ click "Yes" ⟶ specify the location to save the inventory file, e.g., "Desktop" ⟶ click "Save" and "Yes" — the Excel file with the list will open. You can review and close it.
Step 3. Transfer the data from the computer to the terminal.
Connect the data collection terminal to the computer in any convenient way, for example, with a USB cable ⟶ pull down the "shade" on the terminal screen and activate "File Transfer" and "This Device" in the settings.
On the computer, copy the inventory file: right-click the file and click "Copy". Go to the "This PC" tab, the connections should be displayed ⟶ select your terminal and its folder for uploading ⟶ right-click in the empty space and click "Paste". Done, the data collection terminal can be disconnected from the computer and used for inventory.
Conducting the Inventory
Select the inventory file for saving product information on the data collection terminal: on the terminal, go to the "Accounting and Warehouse" tab ⟶ "Documents" ⟶ click the "Add" button ⟶ select "Import from Excel" ⟶ "Only Product List" ⟶ select the required inventory file ⟶ click "Back".
Now, on the terminal, click the barcode icon and scan the barcodes of all products available in the store or warehouse ⟶ click "Back" ⟶ click the "three dots" in the top right corner of the screen and select "Export to Excel" and "Save to File" ⟶ select the inventory file to save product information ⟶ click "Save".
Inventory is completed. The last step is to transfer the inventory file to the computer. This is done like any other file from a phone, flash drive, or Android: connect the terminal to the computer, activate "File Transfer". In the Torgsoft program, open the inventory file through the "Document" menu ⟶ "Inventory List" ⟶ "Open" ⟶ "Data Collection Terminal" ⟶ "Get Information from Terminal" ⟶ "Yes" ⟶ select your Data Collection Terminal and the required file ⟶ click "Open". Now the updated inventory file will be in the Torgsoft program. Verify if the inventory results match the product count in the warehouses; if there are no discrepancies, close the list.
How to sell products via the Data Collection Terminal?
Launch the Torgsoft mobile app on the terminal, log in as a user, click the "Sales" mode button ⟶ set the cursor in the input field "Barcode/Article/Name" and scan the product ⟶ click "Payment" ⟶ choose the required cash register ⟶ confirm the payment by clicking "Pay". A payment receipt will appear on the screen, which can be sent to the client electronically or printed on the printer.
