What is a barcode scanner and why do you need it

A barcode scanner is a device for reading barcodes from product labels. It is used for selling products, inventory control, and stocktaking. The scanner recognizes barcodes and transmits product information to the accounting program.

With a scanner, you don’t need to manually enter all product data into the program, which significantly simplifies the work of sales staff. The scanner helps quickly locate products in the accounting system and speeds up the sales process. 

How are scanners used?

✅ Selling products by scanning their barcodes.

✅ Scanning customer discount cards to apply discounts during sales.

✅ Processing product replacements or returns by scanning their barcodes.

✅ Recording product transfers between stores in the accounting system.

✅ Tracking products by manufacturer barcodes or custom codes generated by the Torgsoft program, including tracking discarded products.

✅ Conducting inventory counts.

✅ Printing price tags and labels by transferring unique product barcodes from the scanner to the printing program.

Types of scanners and their differences

The type of scanner depends on the barcode reading system it uses. Some scanners can read only specific types of barcodes, while others are universal and can read a wide range of 1D barcodes and QR codes. Some scanners require barcodes to be clear and large, while others can read even the smallest and most damaged barcodes. Not all scanners can read barcodes from mobile device screens, glossy surfaces, or under packaging film.

Types of scanners by reading systems:

  • Laser scanner — the cheapest and simplest to use. It reads only linear 1D barcodes such as UPC, Code 39, Code 128, and EAN. Suitable for small stores.

  • LED scanner — slightly more expensive, scans faster, and reads both 1D and 2D barcodes. Used in medium-sized stores and supermarket departments.

  • Linear image scanners or photo scanners — read all types of barcodes at different angles, from various distances, and on different surfaces, including uneven ones. They recognize worn and low-contrast barcodes. Suitable for stores, warehouses, manufacturing, and transportation companies.

  • Radio frequency (RF) scanners — wireless scanners that use RF communication for data transmission. Their main advantage is scanning products from a long distance, making them ideal for spaces with hard-to-reach products. These scanners are often found in large logistics companies, manufacturing facilities, and wholesale warehouses where fast product dispatch is needed.

Scanners can be handheld, desktop, portable, stationary wired, built-in, or radio scanners, depending on the connection method.

How to use a scanner and set it up properly?

Scanners usually do not require special setup. Simply charge the device and connect it to a computer or laptop via a USB cable. For a wireless RF scanner, a radio module is connected to the computer for signal transmission. Once connected, you can start scanning barcodes.
