How to Choose a Fiscal Printer
Tax reporting plays a key role in store operations. To simplify this task, fiscal printers are used. However, there are different types of this retail equipment, and it's important to choose the right fiscal printer for your store.
What Is a Fiscal Printer?
According to Wikipedia, a fiscal printer is an electronic cash register (ECR) that works only as part of a computer-based POS system, receiving data via a communication channel. It is a receipt printer that prints sales receipts and can transmit electronic sales data to tax authorities. This is made possible by the fiscal registration (ECR) function built into all fiscal printers.
What Types of Fiscal Printers Exist?
Fiscal printers with ECR functionality are divided into cash registers and fiscal printers.
Cash Registers
This is a device with a display and buttons. Product codes are pre-programmed into its internal memory. The cashier enters the product code at the point of sale. The product name, weight, quantity, and price are printed on the receipt. A cash register can operate without being plugged in for up to 12 hours. It is a budget-friendly solution suitable for delivery services, small shops, kiosks, cafés, restaurants, and pharmacies. Via a built-in GPRS modem, electronic reports can be sent directly to the authorities, eliminating the need for physical submission.
However, using a cash register requires precise knowledge of product codes. Staff may enter incorrect data. Receipt editing capabilities are limited, and layout customization is minimal. Up to 5000 product codes can be programmed — not enough for supermarkets. Discounts and bonuses are difficult to register, and partial refunds are often only possible at the end of the day, after printing the Z-report.
Fiscal Printer
This prints fiscal receipts and is controlled via the Torgsoft software on the workstation. Each cashier has their own interface where sales are recorded. The cashier sends print commands through the program, and there's no need to manually enter codes. The fiscal printer can store over 5000 product codes, which can be updated via the computer. Receipt settings such as layout, font, and size can also be customized through the software. All fiscal printer models offer fast printing speeds (100 mm/sec or higher), sharp print quality, and are resistant to wear, water splashes, and bright light due to thermal printing technology. Fiscal printers automatically record discounts, bonuses, and customer points without needing end-of-day Z-reports. The paper roll size for fiscal printers is typically 55 mm wide and 38 meters long.
How to Choose a Fiscal Printer for Your Store?
When choosing a fiscal printer, consider the following:
- Country of manufacture – to operate in Ukraine, the fiscal printer must be certified for use in Ukraine;
- Repair statistics – check how often the specific model breaks down. This helps assess reliability and performance;
- Data transmission – data can be sent via built-in GPRS, Ethernet, or combined GPRS/Ethernet modems;
- Print head lifespan – how many years the thermal head can operate without replacement;
- Connection to accounting software – whether the fiscal printer is compatible with Torgsoft, whether support is provided for setup, repair, and if there is a warranty.
