Multicurrency sales — is an option that allows you to accept payments and maintain settlements in foreign currency, automatically converting amounts into the national currency at the current exchange rate directly at the time of sale. The cashier does not calculate the exchange rate and change manually, and all cash movements are correctly recorded in hryvnia in accounting. It is suitable for wholesale companies with imported goods, stores in border and tourist areas, and online stores with international sales.
What the «Multicurrency Sales» option can do
Sales and cashier workstation operation
- Currency and exchange rate selection during sale — in the «Sale» mode, on the «Pay» button (F6), the cashier selects the payment currency and, if necessary, changes the exchange rate directly at the cash register. If the exchange rate is set in advance in the «Payment — Exchange Rate» menu, it is inserted automatically.
- Change in two currencies at once — in the payment window, the program shows two «Change» fields: the amount to be given in the payment currency and its exact equivalent in the national currency.
- Flexible amount rounding — the amount payable in currency can be rounded according to a rule: to kopecks, to 10 or 50 kopecks, to a whole number, to 10, 100 or 1000 whole units. The amount in the national currency is fixed accurately.
- Automatic amount filling — when the exchange rate is set, the program automatically fills in the «Received» field for cash and the «Cashless amount due» field for cashless payment.
- Mixed payment — a receipt can be partially paid cashlessly to a settlement account, and the remaining amount can be paid in foreign currency cash.
Accounting and finance
- Automatic conversion in accounting — all financial documents and receipts are created in the national currency, while a hidden automatic currency exchange takes place during the sale.
- Entering expenses in currency — when posting imported goods or recording related expenses, the amount can be entered in currency. The program converts it into the national currency, and records the exchange rate and amount in the document comment.
- Currency exchange between cash registers and accounts — the «Currency Exchange» operation allows you to buy or sell currency, as well as transfer funds between cash currency registers and between bank settlement accounts.
- Currency sales report — a separate report with filters by period, accounting center, currency, payment form, cash register and settlement account. Totals are displayed simultaneously in two currencies — foreign and national.
Settlements and documents
- Invoices in different currencies — in the advanced «Trade with Invoice Issuing» mode, invoices can be issued directly in currency.
- Currency balance with partners — the program maintains a separate goods-and-money balance with a supplier or intermediary in the selected currency, while balances in different currencies are not mixed.
- Supplier order in currency — the order form for a foreign partner is created with the currency and exchange rate of settlements specified.
- Exchange rate fixation for deferred payments — when working with wholesale invoices, the exchange rate can be fixed so that during a later additional payment or debt repayment, the amount is not recalculated at a new rate.
Integrations and legal requirements
- Bank terminal for a currency account — together with the Integration with Bank Terminal option, cashless payment to a foreign currency settlement account is processed as easily as a regular sale.
- Correct fiscal receipt — when using the pECR or Integration with Fiscal Registrar options, only the hryvnia equivalent of the amount is transferred to the receipt, because pECR works exclusively with hryvnia.
- Currency orders from websites — through the Online Store Synchronization option, the program reads the international currency code (USD, EUR) from the exchange file, applies currency price lists and converts the price into hryvnia at the current exchange rate.
Some features work together with related options: cashless payment in currency requires the Integration with Bank Terminal option, and loading currency online orders requires the Online Store Synchronization option.
Working with pECR. If you use pECR or a fiscal registrar, the national currency of the database must be hryvnia. In this case, when payment is made in foreign currency, the program will recalculate the amount at the exchange rate, and only the hryvnia equivalent will be sent to the fiscal receipt.
