Automatic stock calculation calculates how much goods should be kept in stock based on sales history and the supply period. The program generates a ready-to-purchase quantity and helps avoid both shortages of fast-moving items and warehouse overload with slow-moving stock. The option is designed for stores with a wide assortment and retail chains with several outlets.
What the «Automatic Stock Calculation» option can do
Calculation of minimum and maximum stock levels
- Minimum stock calculation — based on the supply period and sales analysis for the selected period.
- Maximum stock calculation — when the Minimum and Maximum Stock by Warehouses option is enabled, a separate «Maximum Stock Calculation» tab becomes available in the form.
- Custom calculation formulas — in the «Calculation formula» field, you can set your own mathematical formula by inserting the names of numeric columns in «< >» brackets (by default, «Number of sales / Number of supply cycles» is used), as well as multiplication, division, addition, subtraction signs and brackets.
- Flexible rounding — no rounding, mathematical rounding, rounding down or rounding up to a whole number.
- Non-reducible safety stock — the «Min. qty» field sets a basic limit below which the calculated minimum will not fall, even with weak sales.
- Stock increase in case of fast sell-out — if the product was completely sold out before the supply day, the minimum stock is automatically increased by a specified percentage for the specified percentage of cycles.
- Exclusion of promotional sales — the «Do not include sales with product discount and promotion» switch removes short-term demand spikes from statistics.
Demand analytics and supply cycles
- Supply cycle analysis — the number of cycles and the average number of sales per supply cycle.
- Accounting for zero stock balances — the «Number of cycles in which the product was completely sold out» column shows where a shortage occurred before the next delivery.
- Summary matrix table — one window shows the quantity in a package, retail and wholesale price, quantity in stock, current minimum quantity, storage locations and number of sales.
- Dead stock filter — the «Only products with sales» switch leaves only items that were actually sold during the period.
- Filters by calculation result — by minimum and maximum quantity (calculated value greater or less than the current one), by saved and unsaved items, by product status (in stock, with zero or negative quantity).
- Column visibility settings — you can enable the required columns and add dynamic product characteristics.
Applying calculations and assortment management
- Calculation by accounting center — limits are calculated specifically for a particular store or warehouse, not as a general total for the entire chain.
- Mass editing of parameters — directly from the calculation window, you can change the minimum and maximum stock balance, quantity in package, product market demand and storage locations.
- Applying limits with the «Save» button — after selecting products, the new limits are saved to the cards and immediately used to create supplier orders and distribute goods between outlets.
Some features work only together with related options. Maximum stock calculation and individual calculation by accounting center require the Minimum and Maximum Stock by Warehouses option. Mass assignment of storage locations from the calculation window is available when the Product Storage Location option is enabled.
