Integration with Ukrposhta creates transport consignment notes, prints labels, and tracks parcel statuses of Ukrposhta directly in the Torgsoft program. The manager does not switch to a separate account: the recipient’s data, address, weight, and cash on delivery amount are filled in from the outgoing invoice. It is suitable for online stores, wholesale suppliers, and retail companies that regularly send goods by post.
What the Integration with Ukrposhta option can do
Creating and printing consignment notes
- TTN directly from the invoice — the consignment note is created at the outgoing invoice stage in the «Trade with invoicing» mode; uncreated consignment notes can be edited.
- Delivery types and formats — the consignment note type «Standard» or «Express» and the format «Warehouse-Door», «Warehouse-Warehouse», «Door-Warehouse», «Door-Door».
- Label printing — a marking label for each parcel with size selection.
- Form 103a — creation and printing of the accompanying Form 103a for group shipments.
Tracking and status automation
- Tracking in the program — a list of events and the parcel status without switching to the Ukrposhta account.
- Automatic status change — the delivery status of the consignment note changes from «Not sent» to «Sent», and then to «Delivered» according to the parcel movement.
- Bulk scheduled update — a task in the «Settings - Scheduled tasks» menu updates the statuses of all Ukrposhta TTNs automatically, daily by default.
- Error notifications — messages to selected users if an error occurs during bulk status updates.
- Accounting for third-party TTNs — the declaration number created outside Torgsoft can be entered manually and tracked together with your own.
- Deleting TTNs — an erroneous shipment that has not yet been sent is deleted simultaneously from Torgsoft and Ukrposhta servers.
Cash on delivery and finances
- Automatic cash on delivery — the cash on delivery amount is pulled from the unpaid invoice.
- Transfer to IBAN — cash on delivery is credited to the sender’s current account (Sole Proprietorship or legal entity), and the details are displayed on the label.
- Delivery cost accounting — a financial expense for the consignment note is created automatically if the delivery is paid by the sender.
Logistics, senders, and directories
- Multiple senders — an unlimited number of senders (individual, Sole Proprietorship, legal entity) with selection of the required sender from the list.
- Details validation — verification of phone numbers, TIN, EDRPOU, and e-mail in counterparty cards.
- Shipment groups — several TTNs are combined into a group for quick transfer of a batch to the branch operator.
- SmartBox — processing shipments in prepaid SmartBox boxes without mandatory weight indication.
- Additional services — the «Fragile» mark for fragile cargo and «Inspection upon delivery».
- Actions in case of non-delivery — the scenario «Return to sender», «Return after 7 days», or «Do not return».
The option is self-sufficient within Torgsoft Ultra and Terminal licenses. To notify customers with the TTN number, it works together with the Bulk customer mailings option. When processing online orders, the Ukrposhta TTN is created based on data from Synchronization with online store, Integration with Prom.ua, Integration with Rozetka.ua, and Torgsoft Online Market. If you send some shipments through another postal service, a separate Integration with Nova Poshta option is available.
